Build the file around the review process
Supplier bills should carry their purpose and project reference, customer invoices should connect to approvals, and bank transactions should settle existing records where appropriate. The recurring close identifies what has been reconciled and what remains under review.
The actual subscription and connected tools determine available functions. We confirm exports, permissions and integration behaviour before including a capability in the scope.
Preserve a traceable correction history
Changes to historical balances, tax coding or imported transactions need evidence and coordination with the accountant where relevant. A rule that balances the bank but duplicates a supplier expense is not a reliable automation.
Illustrative example: a regional service contract
A Saskatoon consultancy receives a subcontractor invoice relating to two regional customers. The supporting allocation assigns $2,100 to one engagement and $1,400 to the other. The report then explains each project’s cost while the payable total still agrees with the original $3,500 invoice.
We document which records enter automatically and which require review. When two systems both report the same receipt, the reconciliation identifies the connection so income is not duplicated. The owner receives a clear explanation of unresolved balances, while recurring import or coding problems are corrected at the source where practical.
Questions about this work
Can we keep our existing Xero file?
Yes, subject to reviewing its condition and opening balances. Migration is only useful when it addresses an identified need.
Can several people approve records?
Yes, using the agreed roles and actual software capabilities. Final responsibility for commercial approvals and payment release remains explicit.
